AMS data entry and cleanup for insurance agencies

Your agency management system (AMS) is only as good as the data in it. Download errors, duplicate clients and missing documents build up unnoticed until a report or an audit turns them up.

Common data problems in agency management systems

  • Carrier downloads that fail to match a client or policy and sit in the exception queue for weeks.
  • The same household or business entered twice, which splits history and commissions.
  • Declarations, applications and signed forms left in email instead of the client file.
  • Follow-ups that were done but never closed, so nobody trusts the open activity list.
  • Missing email addresses, wrong policy types and unassigned producers, which make the book hard to report on.

A daily and weekly AMS upkeep routine

WhenTask
DailyWork the download exception queue; match or flag each item
DailyAttach documents received by email or portal to the right policy
WeeklyReview open activities older than your cut-off and ask owners to close or update them
WeeklyRun a duplicate client report and prepare merge candidates for approval
MonthlyData-quality report: missing contact details, unassigned producers, policies without documents

One-time AMS cleanup before a conversion or merger

Agencies switching systems or merging books often need a cleanup first. The usual scope is to standardize naming, merge duplicates, mark lost and cancelled policies correctly and backfill key documents. Size it by the number of client records and how far back you want to go. Someone at the agency should approve merges and status changes, since they affect commissions and history.

Agency systems and user access

Assistants commonly work in the major agency management systems, carrier portals and comparative raters. Expect some learning time on your setup, especially custom fields and workflows. Give the assistant a named user with a role limited to the work, require multi-factor sign-in, and review the user list each quarter.

What your agency provides for data cleanup

  • Your naming and filing conventions, or permission to draft them for your approval.
  • A contact who approves merges, status changes and deletions.
  • Read access to commission reports, only if reconciliation is in scope.

Clean records make the other work easier. Renewal preparation starts from your expiration report, and certificate reissues start from an accurate holder list (see certificate handling).

AMS data entry questions

Will the assistant delete records?

Not without approval. Deletions and merges go on a list, a person at your agency approves them, and only then are they carried out.

How is a one-time cleanup priced?

Mostly by the number of client records and how far back the work goes. A specific price comes in the written proposal once the scope is known.

Does the assistant need access to commission data?

Only if commission reconciliation is part of the scope. Otherwise the AMS role can leave commission reports out.
